Federal and provincial legislation on the use of personal information became effective on January 1, 2004. The Canada Institute of Linguistics (CanIL) respects the privacy of the personal information of its employees, staff, students, donors, alumni, customers and other stakeholders. CanIL is committed to protecting the privacy of personal information entrusted to us. In line with that commitment, and to comply with the legislation introduced, we seek to be transparent and accountable with respect to the collection, use, disclosure and security of personal information.
Personal information is only collected to enable us to provide the required services and to meet legal requirements. Only personal information that is relevant and reasonable and necessary will be collected. The purposes for which we collect personal information are: to provide educational and library services, to develop, enhance, and administer relationships with alumni and donors, and to manage, plan and develop our business and operations.
CanIL does not sell, rent or loan the personal information of its students, donors, alumni, employees and customers (e.g., mailing lists) to third parties. Personal information collected is kept confidential and secure, and is not disclosed to anyone outside our group of companies, without your consent, unless required by law.
Staff and employees are authorized to access the information solely on the basis of their need to deal with the information in order to discharge their official responsibilities. Safeguards are in place to prevent unauthorized access to personal information. Personal information shall be retained only as long as is necessary for the fulfillment of the purposes listed above.

THE TEN PRINCIPLES OF OUR PRIVACY POLICY

The Canada Institute of Linguistics (CanIL) is committed to maintaining the confidentiality, accuracy and security of your Personal Information. As part of this commitment, we have adopted the Ten Principles in the Personal Information and Electronic Documents Act, which establishes rules governing the collection, use and disclosure of Personal Information.

Principle 1 - Accountability

CanIL is responsible to maintain and protect all Personal Information under its control. CanIL has designated an individual as its Privacy Officer to oversee CanIL’s compliance with these principles.

Principle 2 – Identifying Purposes

CanIL will identify the purposes for which Personal Information is collected, either before or at the time the information is collected.

Principle 3 - Consent

CanIL requires an individual’s knowledge and consent (expressed or implied) for the collection, use or disclosure of Personal Information, except where otherwise permitted or required by law.

Principle 4 – Limiting Collection

CanIL will limit the amount and type of Personal Information collected to that which is necessary for the purposes identified. Information will be collected by fair and lawful means.

Principle 5 – Limiting Use, Disclosure and Retention

CanIL will use or disclose Personal Information only for the purpose for which it was collected, unless the individual has otherwise consented, or when it is required or permitted by law. Personal Information will be retained only as long as necessary to fulfill the purposes for which it was collected, except as required by law.

Principle 6 - Accuracy

CanIL will keep Personal Information as accurate, complete and up-to-date as necessary to fulfill the purposes for which it was collected.

Principle 7 - Safeguards

CanIL will protect the Personal Information collected with security safeguards appropriate to the sensitivity of the information.

Principle 8 - Openness

CanIL will make readily available to individuals information about its policies and practices relating to the management of Personal Information.

Principle 9 – Individual Access

Upon request, an individual will be informed of the existence, use and disclosure of their Personal Information and will be given access to that information. An individual will be able to challenge the accuracy and completeness of the information and have it amended as appropriate.

Principle 10 – Challenging Compliance

An individual may contact the CanIL Privacy Officer with any questions, concerns or complaints concerning compliance with the above principles.
